Online admissions and enrolment, from first link to first lesson

Ilmoria runs admissions in the same platform students will learn in. Families apply through a private link, upload documents, take placement tests and e-sign enrolment forms, while student affairs track each step and finance tracks payments. Staff see where every applicant stands without chasing paper forms or email attachments.

Private application links

Single-use registration links, so only the families you invite can apply.

Placement tests online

Applicants take maths, English and science tests before you place them.

Signed and paid, tracked

Student affairs see who has e-signed enrolment documents, and finance sees who has paid.

Invite applicants with a private link

Admissions starts with an invitation. Your admissions or student-affairs team creates a private, single-use registration link and sends it to a family. Because each link works once, it cannot be forwarded and reused, and applications come only from families you have been in touch with. The family completes the online application and uploads supporting documents, such as previous report cards and a receipt for an application fee paid by bank transfer. Everything arrives in Ilmoria, attached to the applicant, instead of in a shared inbox.

Review applications in one place

Each application carries a review status that staff update as they work through it. Anyone on the admissions team can open an application, check the uploaded documents and see where it stands without asking a colleague or searching email threads. When a school receives most of its applications in a few busy weeks, that shared view stops files slipping between people. Admissions staff work with the same role-based permissions as the rest of Ilmoria, so applicant documents are visible only to the staff who need them.

Placement and admission tests

Report cards from different schools and countries are hard to compare. Ilmoria lets applicants take placement or admission tests in maths, English and science online, so your team has its own evidence before placing a student in a grade or level. Applicants can take the tests from home, which helps families applying from another city or country. After enrolment, teachers assess learning in courses with quizzes and exams that support time limits, randomised questions and integrity monitoring.

Enrolment documents, signed online

Accepted students still have paperwork to finish before they start. In Ilmoria, enrolment documents such as the student handbook acknowledgement and school policies are signed electronically by both the student and a parent. Student affairs track who has signed and who has not, so they can follow up with the right families before the first day instead of sorting through paper forms.

  • Handbook acknowledgement signed by student and parent
  • School policies e-signed in the same process
  • A clear view for student affairs of what is still outstanding

Invoices, receipts and payment status

Finance works alongside admissions in the same platform. Each student has invoices and receipts, and each payment is recorded by method: cash, bank transfer, card, cheque or online. Payment gateways can be connected on request. Every invoice shows its status, whether unpaid, paid, overdue, in a grace period or on hold, so finance and student affairs know which families to contact. Parents see and print invoices and receipts in the parent portal. Once a student is placed in a grade and section, Ilmoria enrols them automatically in all of its courses, with start and target completion dates.

Questions buyers ask

How do families start an application?

With a private, single-use registration link sent by your admissions or student-affairs team. The family opens the link, completes the online application and uploads supporting documents. Because each link works only once, applications come from families you have invited, and a link cannot be passed around and reused by others.

What documents can applicants upload?

Applicants upload supporting documents with their online application, such as previous report cards and payment receipts. The documents stay attached to the application, so reviewers see them in one place alongside its review status, rather than collecting attachments from email and matching them to the right student by hand.

Which placement tests are available?

Ilmoria supports placement and admission tests in maths, English and science, taken online by applicants. Results give your admissions team its own evidence for placing a student in the right grade or level, which is useful when report cards come from different schools, curricula or countries and are hard to compare.

Can parents sign enrolment documents online?

Yes. Enrolment documents, such as the handbook acknowledgement and school policies, are e-signed by both the student and a parent. Student affairs track who has signed and who still needs to, so they can follow up with specific families before term starts rather than chasing printed forms.

Can families pay online?

Yes, once a payment gateway is connected, which we set up on request. Payments can also be recorded as cash, bank transfer, card or cheque, and each invoice shows whether it is unpaid, paid, overdue, in a grace period or on hold. Parents see and print their invoices and receipts from the parent portal.

Does admissions work for universities and colleges?

Yes. The same steps apply: private application links, online applications with documents, placement tests such as English or maths, e-signed enrolment documents and invoices with clear payment statuses. Universities and colleges can use them for programme intakes alongside the rest of Ilmoria's tools for higher education.
